Teaching a helper or relative to keep the records
Three simple rules and one filled-in sample get a helper going in a day.
A helper has arrived: your sister's son, or a new salesperson. You showed them the notebook, "write here", and went off to do other things. Two weeks later one item appears under three names, half the sales are unrecorded and a receipt has landed in the issues column. This is not the helper's fault: nobody showed them the rules or a sample. The good news is that a person can be got going in a single day, with one short lesson and one sample page.
Three rules
You do not need to say everything; three rules are enough. Write them on a sheet and put it next to the notebook.
- Every receipt and issue is written down at once. No "I will write it tonight": by evening half will be forgotten.
- One item, one name, one unit. Do not invent a name, copy it from the list. If an item is counted in pieces, always write pieces.
- If unsure, ask. Do not erase a mistake: draw one line through it, write a new row and add a note. Asking is cheaper than guessing.
A sample page
An abstract rule is not remembered, but a filled-in sample is clear at a glance. A page headed "Frying pan, 24 cm" from a kitchenware shop:
- 3 April, opening count: 18 pieces;
- 4 April, receipt from the supplier: +12;
- 4 April, sale: −3;
- 5 April, sale: −2, return: +1 (customer brought one back);
- 6 April, damage: −1 (the handle came off).
The sum: 18 + 12 − 3 − 2 + 1 − 1 = 25 pieces. Tell the helper: "If you count the pans on the shelf at the end of the day, this is the number you should get." Someone who has seen it once and filled it in once will not repeat the mistake.
Day one: a 40-minute lesson
Hold it at a slack moment, in a quiet place. The plan:
- 10 minutes: why we write things down. Give an example: "A month ago three pans went somewhere and we do not know where. With records we would."
- 10 minutes: read the sample page together, explaining what each row means.
- 15 minutes: the helper writes on a practice copy, not in the real notebook.
- 5 minutes: questions and a repeat of the three rules.
For practice, prepare five scenario cards: "a customer took two pans", "the supplier brought ten", "one fell and the handle broke", "a customer returned one", "one pan was given to the shop next door". For each card the helper says what they will record: receipt or issue, how many, what note. The right answer is on the back. The last card is tricky, since it could be a debt or a gift: decide it together.
What they can do alone and what needs you
Say in advance what the helper may do alone. For example: record sales and receipts, and give a discount of up to 5 per cent. Selling on credit, changing a price and writing off goods are done only in agreement with you. This is not distrust but order: the helper knows where to stop.
One more rule: only one person writes on a page at a time and the other checks. The helper writes and you check, not the other way round. When two people start writing on one page, two styles and two sets of names appear, and the rule becomes hard to hold.
The first week and after
For the first two or three days the helper fills in the real notebook and you look it over for 10 minutes every evening. On day seven hold a joint count: count 10 items on the shelf and compare them with the notebook. If there is a difference, find the cause together. Keep a small separate notebook for mistakes: what happened, why, how to avoid it. During the first month a ten-minute check once a week is enough.
Be extra careful when teaching a relative: correcting them feels awkward. So the rules should be written and the same for everyone. Then the conversation is about the rule, not the person.
Conclusion
A helper can be started in one day: three rules, a filled-in sample, practice cards and a joint check in the first week. After that the records rest on a system, not on one person. If a period is ending, or you want to start with the helper from a correct opening figure, the Sanab team counts the goods and hands over a report, and the new notebook begins from a clean number.
